Cancellation Policy – Indo Nepal Safar
This policy explains the applicable cancellation charges, amendment conditions, no-show rules, supplier deductions and request process for Nepal tour packages booked through Indo Nepal Safar.
Once an advance payment is received and services are confirmed, cancellation charges may apply because hotels, vehicles, permits and other suppliers may already have been reserved or paid.
Scope of This Policy
This Cancellation Policy applies to private Nepal tour packages, family tours, group bookings, fixed departures, hotel reservations, transportation and other travel services confirmed through Indo Nepal Safar.
The final cancellation amount may depend on the confirmed quotation, travel date, time remaining before departure, services already reserved and the cancellation terms imposed by hotels, transport providers and other suppliers.
Standard Cancellation Charges
Unless a different written condition applies, the following charges are calculated on the total confirmed tour cost.

How Cancellation Charges Are Calculated
Cancellation timing is calculated from the date and time when a clear written cancellation request is received by Indo Nepal Safar through email or an officially confirmed WhatsApp number.
- Charges are normally calculated on the total confirmed tour cost.
- Any non-refundable hotel, vehicle, ticket, permit or supplier amount will be deducted.
- Bank, payment-gateway and administrative costs may be non-refundable.
- Services already used, partially used or already delivered are not refundable.
- A verbal cancellation is not considered final until acknowledged in writing.
Hotel Cancellation Charges
Hotels may impose separate cancellation terms depending on destination, room category, season, festival dates and booking type.
- Non-refundable hotel reservations will remain fully chargeable.
- Peak-season and festival bookings may require full advance payment.
- Group room blocks may attract stricter cancellation charges.
- Early check-out or unused hotel nights are generally non-refundable.
- Any approved hotel refund is subject to receipt of the amount from the hotel.
Vehicle and Transportation Cancellation
Vehicle booking charges may apply once a vehicle has been reserved, dispatched, permitted or blocked for the confirmed travel dates.
- Vehicle advances paid to the operator may be non-refundable.
- Border permits, vehicle passes and route-specific arrangements may be non-refundable.
- Cancellation after vehicle reporting or dispatch may attract a 100% vehicle charge.
- Local 4×4 vehicles used for Muktinath, Jomsom or mountain routes may have separate terms.
Fixed Departure and Group Tour Cancellation
Fixed-departure and group-tour bookings involve shared vehicles, pre-blocked hotels and limited seats. Therefore, stricter cancellation conditions may apply.
- Seat-booking advances may be non-refundable.
- Room-sharing changes may lead to a revised package cost.
- A traveller who misses the departure must join the group at their own expense.
- Unused group services are not refundable after departure.
- Replacement of a traveller is subject to approval and supplier rules.
Peak Season, Festival and Special-Date Bookings
Bookings during major festivals, public holidays, New Year periods, school vacations and high-demand travel dates may be subject to non-refundable or stricter supplier terms.
Date Changes and Booking Amendments
A request to change dates, destinations, duration, hotel category, vehicle or traveller count is treated as a booking amendment and remains subject to availability.
- Any supplier amendment or cancellation charge will be payable by the customer.
- A revised price may apply for new dates or services.
- A date change is not confirmed until written approval is issued.
- If the amendment cannot be accepted, the original booking remains subject to its cancellation terms.
Traveller Name Changes and Substitution
Traveller substitution may be allowed for some private or group bookings, provided the request is made before departure and accepted by all relevant suppliers.
Name-change, permit, ticket, room-allocation or administrative charges may apply. A substitution is not permitted where a supplier booking is non-transferable or where legal and identification requirements cannot be satisfied.
No-Show, Late Arrival and Early Departure
A traveller is treated as a no-show when they fail to report at the confirmed place and time without prior accepted arrangements.
- No-show bookings are fully non-refundable.
- Late travellers must arrange and pay for joining the tour unless assistance is agreed.
- No refund is provided for sightseeing or services missed because of customer delay.
- Early departure, illness or voluntary withdrawal does not create an automatic refund right.
Cancellation by Indo Nepal Safar
We may cancel or materially alter a tour where operation becomes impossible, unsafe or commercially unviable because of supplier failure, insufficient fixed-departure participation, government restriction or another serious operational reason.
Depending on the circumstances, we may offer:
- An alternative departure date.
- A revised itinerary or comparable service.
- A transferable travel credit.
- A refund of recoverable amounts for services not provided.
Any refund remains subject to amounts successfully recovered from third-party suppliers where those suppliers have already been paid.
Force Majeure and Unavoidable Events
Cancellation or disruption caused by natural disasters, landslides, floods, earthquakes, extreme weather, strikes, protests, border closure, public-health restrictions, government orders, road blocks or similar events beyond reasonable control will be handled according to actual supplier recoveries and operational feasibility.
Customers are strongly advised to purchase suitable travel insurance covering cancellation, medical events, delays and emergency expenses.
How to Submit a Cancellation Request
The cancellation request should be submitted by the person who made the booking or an authorized representative.
Email or WhatsApp your booking ID, lead traveller name and reason for cancellation.
Cancellation timing is recorded when our team acknowledges the written request.
We calculate applicable charges after checking hotel, vehicle and supplier terms.
Refund Processing Reference
Where a refund is approved, it will be processed according to the separate Refund Policy after applicable cancellation charges and supplier deductions are finalized.
Refund processing time begins only after the required bank details, booking verification and supplier reconciliation have been completed.
